This notice aims to provide you with information on what cookies are, how we use them and how to accept or reject them. 

About Cookies

How we use Cookies 

Necessary Cookies – These enable core functionality. The website cannot function properly without these cookies, and can only be disabled by changing your browser preferences. 

Google Analytics (performance cookies) – Edinburgh College uses Google Analytics to track how our website is being used. This enables us to improve the website to better meet the needs of users. 

Google Analytics cookies are present on every page on the website and store information such as the location of the user, how they found the site (search engine, direct link etc,), what pages they have visited and how long they have spent on the site. 

These cookies collect information in a way that does not directly identify anyone. 

Website Accessibility – Users can use the website accessibility features to change the font size, background colour and text colour of pages on the website. This allows for better readability of the website. 

These cookies are used to ensure that any changes made are present on all pages on the website. As such, these cookies are present on all pages, but only if the user has specified a custom setting.

Why are we collecting it and what are we doing with it (Purpose)?

We collect your information to process your interest in a place at Waterfront Nursery, to assess if a place can be offered to you, and to communicate with you about your application.

What personal data do we collect?

  • Child’s Name (Forename, Middle Name, Surname).
  • Child’s Date of Birth.
  • Parent/Guardian’s Name (Forename, Surname) and title.
  • Relationship to child.
  • Attendance preferences.
  • Address.
  • Mobile Phone Number.
  • Whether you are a student at Edinburgh College and course of study, if you are.
  • Email address.

How are we collecting this information? What is the source?

We collect this from you, via an application form on our website.

The lawful basis for the processing

Applicants who are successful will enter into a contract with the College and the condition of processing under GDPR Article 6(1) (b) is “the processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract” If you do not provide this information we cannot process your application for a place at Waterfront Nursery.

Whom we share the information with

In instances where children receive funding from the City of Edinburgh Council, your details will be shared with the City of Edinburgh Council.

How long do we hold personal data?

If you take up a place for your child at the nursery, we will hold the details you provided for 3 years after your child has left the nursery. 

If you don’t take up a place, your application will be retained for up to 1 year following confirmation of this.

Individuals’ rights in relation to this processing

Under data protection law you have a number of rights, some of these rights only apply in certain conditions. Your rights are as follows:

  • Right to be informed (i.e. this privacy notice)
  • Right to access – you can request access and/or copies of the personal data held about you.
  • Right to rectification – you can correct or update any inaccurate or incomplete data about you.
  • Right to Erasure – you can request that the College destroys your personal data.
  • Right to Restrict Processing – you can request the processing is restricted.
  • Right to Data Portability – you can request your data in a machine-readable format (like a .csv file) and ask for it to be transferred to another organisation (for example another nursery).
